For VAs providing admin and business support services it can be surprisingly difficult to articulate what we do. Our workload encompasses a huge variety of tasks and no two days are the same. At Helen Leach VA Services we save our clients time, streamline processes, and help small businesses to run more smoothly - but what does that actually look like?
Read on to learn about a typical day in the life of a VA.
It's an earlier start than usual as I'm out of the office later this morning. After checking my own inbox and the shared inboxes I manage I send a travel itinerary to a client, liaise with their clients to book appointments and complete some admin ahead of an event they're running later in the month. Then it's on to clearing their inbox, some more diary management, and collating and forwarding some information that a client has sent ahead of a meeting. I also make a start on a proposal email to send to one of their potential clients.

Networking! As business owners it's just as important for VAs as it is for our clients to meet fellow business owners and win work. It's a great session - I meet some really interesting new people and catch-up with contacts I haven't seen in a while.

Home and grab a quick lunch.

Back to work - setting up the necessary trackers for a client who is running a training programme. We use Excel to create the tracker - I populate the spreadsheet and set up formulas, conditional formatting and queries to highlight key dates and points in the course. I also set up a registration form to collect participants' details, send it off and log on to Zapier to set up an automation so that responses will be downloaded to our system automatically.
This client runs a membership and renewals are due. Their membership database is run via Excel so I set up a dashboard to enable them to easily access key information, including overdue payments.

Weekly catch-up with a client. I'm doing a piece of work with them to ensure all their policies are present, correct and up-to-date. We agree that I will draft some policies they are missing and update the existing ones. I spend some time reviewing policies and researching so I'm ready to set up drafts later in the week.

Wrap up. One final check through all mailboxes to ensure nothing urgent has come in, set the priorities for the following day, and then head downstairs to say hello to the family and get the tea on!
